A clear checklist helps a family turn a quinceañera vision into a manageable plan. Use this timeline as a starting point, adapting it to your traditions, budget, and the availability of your chosen vendors.
12–18 months before: establish the plan
- Agree on a budget and discuss any contributions from padrinos and madrinas.
- Estimate the guest list and identify preferred dates.
- Coordinate any religious ceremony directly with the parish.
- Tour reception spaces and confirm the layout, rental terms, and availability before booking.
9–12 months before: book the main elements
- Choose a theme and invite the court of honor.
- Arrange photography, music, and other priority vendors.
- Start dress shopping and allow time for fittings.
- Discuss catering, beverage service, and vendor requirements with the venue.
6–9 months before: develop the details
- Plan invitations, the menu, cake, and decorations.
- Arrange transportation and discuss lodging with out-of-town guests.
- Begin planning the waltz, entrance, and other family traditions.
- Identify microphones, lighting, and presentation needs.
1–3 months before: confirm the event
- Track RSVPs and confirm final counts by each vendor’s deadline.
- Review the floor plan, event schedule, and accessibility needs.
- Confirm delivery, setup, rehearsal, and cleanup arrangements.
- Assign a family contact for vendor questions on the day.

Specialized AV can be discussed with preferred provider EA Pro Music. Any museum access, photography, or overnight RV arrangements should be confirmed separately before guests make plans.
